How to Keep Attendees From Canceling: The Logic Behind RainFocus’ Portals

12 Feb 2020 | Heather Pryor | 2 minutes

Studies show that it takes eight seconds for the average human to lose interest in something, meaning it can be extremely difficult to secure registrants months in advance. Even the most avid event-goers are known to cancel their registration from time to time. So how do you ensure registrants actually show up to your event? Engagement. Keeping guests engaged prior to an event is the best way to prevent early cancellations, that’s why RainFocus has created engaging portals to make sure your attendees won’t lose sight of your event.

What is a Portal?

Portals are an attendee-facing portion of the RainFocus Platform. Portals replace the boring “My Account” pages that many of us are used to and offer a more dynamic and inviting interface for guests. Portals provide attendees, speakers, or exhibitors a place to manage their entire event experience. Here, attendees can learn and perform tasks before, during, and after an event. These tasks might include completing surveys, booking hotel rooms, scheduling sessions, managing passes, and much more.

Why Use a Portal?

Portals also allow you to market directly to your attendees and provide them a unique, impactful experience. As your event approaches, RainFocus’ portals can be used to communicate with attendees. Enable your attendees to act on the messages you’re sending out by giving them a single home to access all of their event information. This one-stop-shop will be sure to save you the time and effort it takes to send out multiple forms to each of your attendees.

RainFocus offers three primary portals; the attendee portal, the speaker portal, and the exhibitor portal. All portals are comprised of “cards” or widgets, which are completely configurable, similar to many other RainFocus features. The configurability allows you to create each portal with different cards to encourage guests to perform different actions. Portals allow you to guide your guests pre, during, and post-event.

Most Impactful Cards in an Attendee Portal:

  • Recommended sessions
  • Surveys
  • Hotel reservation
  • Order summary
  • Session scheduling
  • Custom marketing to attendees

Most Impactful Cards in a Speaker Portal:

  • Tasks to complete
  • Survey feedback
  • Speaking session details
  • Meeting requests
  • Speaker resources (guides, tips, etc.)
  • Custom marketing to speakers

Most Impactful Cards in an Exhibitor Portal:

  • Tasks to complete
  • Exhibitor floor map
  • Bulk pass management
  • Lead-retrieval device pick-up and return times
  • Custom marketing to exhibitors

Make it Your Own

Building your dream portal is completely achievable with RainFocus’ Portals. Each of the portals offers a beautiful landing page that can be branded to match the look and feel of your event. The dynamic portals also provide you the flexibility to change your content over time as needed.
